Claiming Your Group

Once you’ve logged into the system, you’ll need to claim your group (if you haven’t already).

How to Complete Your Challenge Booking

Follow the steps below to claim and complete your group’s booking for Challenge.
Once you have claimed your group:
  • 1. Go to the Challenge Booking website.
  • 2. Under the Scout Leader option, click the purple “View My Groups” button.
  • 3. You’ll now see a list of all groups you have claimed.
  • 1. Find the group you want to manage.
  • 2. Click the purple “View Bookings” button.
  • 3. This will open the booking screen for that group.
Across the top of the page, you’ll see different ticket types, including:
  • Young People: Weekend, One‑Night, Day Visitor
  • Adults: Weekend and Day Visitor
  • Young Leaders & Explorer+ Tickets
When you’ve entered all your numbers:
  • Click the purple “Save Booking” button to save your progress.

If you're ready to finalise:

    • 1. Click the green “Review and Complete Bookings” button.
    • 2. Review all your numbers and the total cost.Review all your numbers and the total cost.
    • 3. Once you are happy, click the green “Confirm Bookings” button.
    After confirming:
    • Your booking is guaranteed for Challenge.
    • You will be invoiced for the number of people you’ve booked.
    You can request changes after confirming, but increases depend on availability. Refunds cannot be given for no‑shows, so only book the places you need.
    At the bottom of the confirmation screen, you’ll see an estimate of the volunteer hours your group is expected to contribute.
    • These hours are based on data from Challenge 2023.
    • Closer to the event, you will assign a Rota Manager, who can allocate your volunteers to specific shifts and activities.

    Before confirming the booking, tick the confirmation checkbox to indicate that:

      • Your booking details are correct
      • You understand you will be invoiced
      • You agree to contribute volunteer hours
      If you are satisfied, press the green “Confirm Booking” button.
      Your booking is now fully confirmed.
      Once your booking numbers are confirmed, you can start gathering information for the young people and adults attending Challenge from your group.
      • 1. Visit the Challenge Booking website.
      • 2. Under the Scout Leader header, click the purple “View My Groups” button.
      • 3. Select the group you want to work with by clicking View Bookings.
      • 1. Go to the Invites tab at the top of the booking page.
      • 2. Here you will find:
        • A bookings link you can copy and share
        • A QR code you can save and distribute
      You can send these to leaders, parents, and guardians so they can complete attendee information themselves.
      When someone follows your link or scans your QR code:
      • 1. They will be taken directly to your group’s bookings page.
      • 2. They can choose the section the young person belongs to (e.g., Beavers, Cubs, Scouts).
      • 3. They can then register either:
        • A young person, or
        • An adult (leaders and adult volunteers)
      To register a young person:
      • 1. Click “Register Young Person”.
      • 2. Fill in the required details, including:
        • Personal information
        • Health information
        • Dietary needs
        • Activity permissions
        Important: This form must be completed by a parent or guardian of the young person.
        Adult attendees (leaders, volunteers, etc.) should:
        • Click “Register Adult”, then
        • Complete their own details, including health and dietary information.
        Adults should fill this out themselves, not parents or other leaders.

        How to Request Changes to Your Booking Numbers

        Visit the Challenge Bookings website and log into your account.
        Under the Scout Leader header, click the purple “View My Groups” button.
        Find the group you want to adjust and click the purple “View Bookings” button.
        At the top of the page, select the Bookings tab.
        Click the “Request Changes” option at the top of the bookings list.
        Enter the changes you want to make (increase or decrease your numbers). Include a brief explanation in the Reason box to let the team know why the change is needed.
        Click the purple “Submit Change Request” button.
        The Challenge Admin Team will review your request and contact you with next steps.

        How to View and Manage Health Forms

        You can return to the Challenge Booking site at any time to review and manage health forms for your group. Follow the steps below to check progress, update information, and track permissions.
        • 1. Log into the Challenge Booking website.
        • 2.. Under the Scout Leader tab, click the purple “View My Groups” button.
        • 3. Find the group you want to work with and click “View Bookings”.
        You will be taken directly to the Health Forms page by default.
        On the Health Forms page you can see:
        • A list of everyone who has submitted a health form
        • The percentage completed based on total attendees
        • Indicators showing:
          • Whether shooting permission has been declined
          • Whether a form has been returned for correction
          • Whether a form has been accepted
        This gives you a clear view of your group’s overall progress.
        If you need to manually adjust information on a submitted health form:
        • 1. Click the “Edit” button beside the person’s name.
        • 2. Update any relevant details.
        • 3. Save your changes.
        This is useful if something needs correcting or clarifying.
        If a young person has been assigned the wrong ticket type or submitted their form under the wrong section:
        • 1. Click the “Manage” button next to their name.
        • 2. Choose the correct ticket type (e.g., Full Weekend → One Night).
        • 3. Or select the correct section (e.g., Cubs, Scouts, etc.).
        • 4. Save your changes.
        To see an audit trail of all adjustments:
        • 1. Click the “Change History” tab.
        • 2. You’ll see a record of all previous edits, helping you track exactly what changed and when.
        When you receive the signed shooting permission form for a participant:
        • 1. Find the participant in the list.
        • 2. Tick the “Confirmed receipt of form” box.
        • 3. Confirm again when prompted.
        This logs that you’ve received and verified their signed form.

        What Happens After a Parent or Guardian Submits a Young Person’s Details


        Once a parent or guardian completes their young person’s information on the Challenge Booking System, the following steps take place:
        After submitting the form, they will automatically receive an email which includes:
        • A confirmation that the details have been received
        • A link allowing them to return and edit the information at any time prior to camp
        This ensures they can update medical, dietary, or permission information if circumstances change.
        If the parent or guardian gives permission for their young person to take part in shooting activities:
        • The email will also contain a downloadable Shooting Permission Form.
        • They must download, print, sign, and date this form using a wet (handwritten) signature.
        Parents or guardians must return the signed form to the group leaders.
        This is essential because:
        • The form is required for any young person who wants to take part in shooting activities at camp.
        • Leaders must keep hold of these forms, as they will be collected or checked at Challenge.

        How to Scan Shooting Permission Forms on a Mobile Device

        If you're logged into the Challenge Booking System on your mobile phone, you can quickly confirm receipt of Shooting Permission Forms using the QR codes printed on each form.
        Before scanning, make sure you are:
        • Logged into the Challenge Booking website
        • On your mobile phone with the camera available
        You must be logged in for the QR codes to work.
        Ensure you have received the physically signed (wet signature) Shooting Permission Form from each young person whose parent or guardian opted into shooting activities.
        Using your phone’s camera:
        • 1. Open your camera app.
        • 2. Point it at the QR code printed on the Shooting Permission Form.
        • 3. Your phone will recognise the QR code and show a link.
        Tap the link to continue.
        After tapping the QR code link:
        • You will be taken directly to a confirmation page within your group’s booking.
        • This page is specifically for the young person whose form you scanned.
        Here, you will see an option to confirm that you have received the physical Shooting Permission Form.
        Tap the receipt confirmation button.
        This logs that:
        • The form has been returned
        • It has a valid wet signature
        • The young person is permitted to take part in shooting activities at Challenge

        Assign Shifts to People

        Once your group has claimed jobs for Challenge, you can assign specific people to complete those roles over the weekend.
        Go to the Challenge 2026 booking site: bookings.challengecamp.org.uk and log into your account.
        • 1. From the top menu, select Leaders.
        • 2. Click My Groups.
        • 3. Find your group and select it.
        Click the “Manage Rota” button on the right-hand side.
        You will see a list of all the jobs your group has claimed for the event.
        • 1. Click the “Assign” button next to the job you want to fill.
        • 2. A dropdown list will appear showing all registered members of your group.
        • 3. Select the person you want to assign.
        • 4. Click the purple “Update Assignment” button to confirm.
        If you need to update who is assigned:
        • 1. Click the “Reassign” button next to the job.
        • 2. Choose a different person from the dropdown list.
        • 3. Click the purple “Update Assignment” button.

        ✅ Tip: Make sure the person you select is confident in assigning volunteers and managing schedules, as they’ll be responsible for helping your group meet its volunteering commitment.

        How to claim hours

        As a Booking Contact or Rota Manager, you need to claim volunteer shifts that will be shared across the adults in your group during Challenge.

        Claiming shifts early helps you balance volunteering with your group’s own plans and activities over the weekend.
        Go to the Challenge booking website: bookings.challengecamp.org.uk and log into your account.
        • 1. From the top menu, select Leaders.
        • 2. Click My Groups
        • 3. Choose the group you want to manage.
        Click the “Manage Rota” option.
        • Jobs are displayed by day, with tabs at the top of the page to switch between days.
        • Each job shows:
          • The time slot
          • The number of volunteers required (shown under “Spots”)
        • Jobs are listed in time order for each day.
        To claim a job for your group:
        • 1. Click the “Sign Up” button next to the job.
        • 2. Repeat this process for all the shifts your group will cover.
        • As you claim jobs, the progress bar chart on the right-hand side will update.
        • This shows how close you are to completing your group’s total volunteer hours requirement.
        ✅ When the bar reaches 100%, your group has met its minimum volunteering commitment.
        Once you’ve claimed all your group’s shifts:
        • You can move on to assign specific people to each job using the Rota Manager.
        ✅ Tip: Try to spread shifts evenly across your adult volunteers to ensure everyone contributes and no one is overloaded.

        Adding a Rota Manager

        All groups attending Challenge are required to contribute volunteer hours. These are managed through the Rota Manager feature in the Challenge 2026 booking system. As the booking contact, you already have access to this feature, but you can also assign another person in your group to help manage rotas.
        Go to the Challenge 2026 booking site: bookings.challenge.org.uk and log into your account.
        • 1. From the top menu, select Leaders.
        • 2. Click My Groups
        • 3. Choose the group you want to manage.
        Click the “Manage Rota” button for your selected group.
        • 1. Click the “Add Rota Manager” button on the left-hand side.
        • 2. A dropdown list will appear showing all registered adults in your group.
        Choose the person you want to give Rota Manager access to from the dropdown list.
        Click the purple “Grant Access” button.
        The selected user will now have access to the Rota Manager function and can help organise volunteer shifts for your group.
        ✅ Tip: Make sure the person you select is confident in assigning volunteers and managing schedules, as they’ll be responsible for helping your group meet its volunteering commitment.
